If you already have all your Artworks stored in a spreadsheet or another platform and want to upload them all at once to ArtPlacer, this guide will walk you through the process.
We'll use a CSV file to make the bulk upload simple and efficient, saving you valuable time compared to uploading each Artwork individually

What is a CSV?
A CSV file (Comma-Separated Values) is a simple spreadsheet format that allows you to organize Artwork details (like title, artist, dimensions, etc.) in rows and columns.
By uploading a CSV file, you can import multiple Artworks into your ArtPlacer account simultaneously, saving time compared to adding them individually.
Initial Considerations
The number of rows (Artworks) you can upload cannot exceed your plan's allowance quota.
You can check how many slots you have available directly on the upload screen, it will display your current usage (for example: Artwork quota: 81 / 5000). To learn more about what's included in each plan, please follow this link.
Image Requirements
- The Image URL must be a public, direct link to the Artwork image (e.g., a URL ending in
.jpgor.png). - Accepted file formats: JPG, JPEG, or PNG.
- Images should be at least 1200 px on the longest side for best results.
- The file size cannot exceed 40 megabytes.
- The link must go directly to the image file, not to a webpage that contains the image.
How to check your link: Paste it into your browser. If you see only the image on your screen with no website around it, it's the right kind of link.
Why does this matter? ArtPlacer needs to automatically fetch your image from the internet. If the link points to a webpage instead of the image file itself, our system won't be able to upload it.
CSV (Spreadsheet) Requirements
Before uploading, make sure your file meets these requirements:
- File must be UTF-8 encoded:
- Google Sheets: Go to File > Download > CSV, it saves in UTF-8 automatically.
- Microsoft Excel: Go to Save As > CSV UTF-8 (Comma delimited).
- Use commas ( , ) as separators.
- Your file must include column headers (the field titles in the first row).
- No merged cells.
- Numbers should not include symbols (write
40, not40cm).
Required & Optional Fields
Your CSV can include as many or as few fields as you have available. Here's a breakdown of what's required and what's optional:
Required fields: these must be present for an Artwork to be successfully imported:
- Title
- Artist Name
- Type (e.g., 2d, sculpture)
- Height, numerical value only (in cm or inches, based on your account settings)
- Width, numerical value only
- Image URL, a direct link to the image file
⚠️ Artworks without a valid Image URL will not be imported.
Optional fields, include these if you have the data. You can always add or edit this information later from your Artwork's edit page:
- Description
- Depth
- Purchase URL
- NFT URL
- Video URL
- View More URL
- Price
- Size
- Orientation
- Medium
- Material
- Public (whether the Artwork is publicly visible)
- Date
- Collections
You can download a sample CSV template here. It's already correctly formatted, feel free to make a copy and fill it in with your Artwork information.
Step by Step to Import Artworks Using a CSV File
The import process has three steps: Upload, Match, and Submit.
Step 1 – Upload
Go to Sidebar > Artworks. Click (or tap) the red UPLOAD ARTWORKS button, then select Import CSV File from the drop-down menu.
You'll land on the Upload screen, where you'll see:
- Your current Artwork quota (e.g., 81 / 5000), so you can confirm you have enough slots available.
- A link to Download the sample spreadsheet, in case you need to start fresh or check the correct format.
Click (or tap) BROWSE to open your device's file explorer and select your completed CSV file. Once selected, click NEXT to continue.
Step 2 – Match
After uploading your file, you'll reach the Match step. Here you'll see a table with a preview of your CSV data — ArtPlacer shows the first 3 rows so you can confirm everything looks right.
Click on any column header to match it to the correct Artwork field. For example:
- Title → Title
- Artist → Artist Name
- Width → Width
- Height → Height
- Image link → Image URL
A summary at the top of the screen will tell you how many Artworks and Videos will be processed for import based on your current matches.
Once all required fields are matched, click FINALIZE IMPORT.
Step 3 – Submit
Before the import begins, you'll see a final confirmation screen showing:
- Artworks that will be processed — the number of Artwork rows ready to import.
- Videos that will be processed — the number of video entries detected.
Review this summary to make sure the numbers look correct. When you're ready, click SUBMIT.
The upload process will begin and may take a few minutes to complete. You'll receive an email confirmation once it's done.
⚠️ The confirmation email may also include a list of any Artworks that failed to upload. For those, we recommend uploading them using the Multiple Upload option instead. You can follow the step-by-step guide in this article.
