How To Respond to Inquiries Received On Inbox

Managing and responding to inquiries efficiently is key to building strong relationships with potential buyers and collectors. ArtPlacer’s Inbox makes it easy to send a first response directly from the platform. Follow these steps to reply to a message.



Step 1: Access the Inbox

  1. Navigate to the Inbox section.
  2. Browse through your messages or use the Filtering options to find unread inquiries.

Step 2: Open the Message

  1. Click on the message you want to respond to.
  2. A preview of the inquiry will appear, displaying the sender’s details, message content, and the source (Virtual Exhibition, Online Portfolio, etc.).
  3. Click REPLY.



Alternatively, click the Reply Button (↩️ Arrow Icon)

  1. Click the Reply (↩️) button to open the email response modal.
  2. The recipient’s email will be automatically filled in.

Step 3: Write Your Response

  1. Enter a subject line if required.
  2. Type your message in the provided text field.
    • Personalize your reply to engage with the potential buyer.
    • Example: “Thank you for your interest in my artwork! I’d love to provide more details. Let me know how I can assist you.”
    3. Double-check your message for accuracy.


Step 4: Send Your Reply

  1. Click the Send button.
  2. Your response will be sent via email.


Step 5: Continue the Conversation Externally

  • Replies to emails sent from ArtPlacer should reach the address set as the contact email within your Online Portfolio contact info settings. Otherwise, they should reach the email set on your Profile settings (same email used to log into your ArtPlacer Account). You are supposed to carry on with the conversation within your email client provider (Gmail, Outlook, iMail, etc.)

  • You can always revisit the Contact Details (Magnifying Glass Icon) to track interactions and add follow-up notes.

Tips for Effective Inbox Management:

Respond promptly to maintain engagement and improve your chances of a sale.

Use tags and lead statuses in the Contacts List section to categorize potential buyers.

Follow up externally if you don’t receive a response within a few days.

By using the Inbox effectively, you can ensure timely and professional communication with collectors, galleries, and art enthusiasts.
